Refunds & cancellations

This policy applies to professional fees for financial auditing and related engagements with Aoyama Ledger Advisory. It does not cover retail merchandise or software subscriptions, which we do not sell.

Eligibility

Refund eligibility depends on whether fieldwork or substantive review has begun, whether a deposit reserved scarce count dates, and what the signed engagement letter states. Website estimate requests carry no charge and need no refund.

Timeframe

Refund requests should be emailed to hello@connectivity-automationio.digital within fourteen days of the event giving rise to the request (for example, cancellation confirmation or disputed invoice date), unless the engagement letter sets a different window.

Full refund

A full refund of amounts paid is available if we cancel an engagement before any fieldwork, inventory observation, or desktop review begins, except for non-refundable third-party confirmation fees already incurred with your approval.

Partial refund

If you cancel after planning has started but before fieldwork, we may retain a portion of the planning deposit reflecting hours already spent on risk assessment, document review, and scheduling—typically up to the planning deposit stated in the engagement letter. Remaining prepaid amounts are refundable.

Non-refundable items

• Fees for fieldwork days already performed
• Inventory observation fees after attendance has occurred
• External confirmation charges paid to banks or counterparties
• Travel costs already committed for remote plant visits when cancellation occurs within five business days of the scheduled arrival, unless we successfully reassign the trip

Refund process

Email the engagement name, invoice number, and reason for the request. We confirm receipt within two business days and state whether additional information is needed.

Processing time & method

Approved refunds are processed within fourteen business days to the original payment method where possible, or by bank transfer to an account you nominate in Japan.

Cancellation & rescheduling

You may request to reschedule fieldwork subject to team availability. Moving a stock-count attendance inside ten days of the count may incur a rescheduling fee if another client’s slot was declined to hold your date. We will state any fee before confirming the new date.

Deposits

Planning deposits secure engagement acceptance. They are credited toward the total fee. Unused deposit amounts follow the full or partial refund rules above.

No-shows

If client sites are inaccessible on an agreed observation day without timely notice (less than one business day), observation fees for that day remain payable. We will attempt to rebook at the next available date.

Work already started

Once substantive testing or control walkthroughs begin, fees for completed procedures are due. We will provide a status summary of work performed if an engagement ends early by mutual agreement.

Purchased materials

We rarely purchase materials on a client’s behalf. If specialised binders, courier charges, or certified translations are bought with prior approval, those costs are non-refundable once ordered.

Exceptions

Statutory cooling-off rights or other mandatory protections under Japanese law apply where they override this policy. Engagement letters may add client-specific terms; where conflict exists, the signed letter controls for that engagement.
